Quick answer
If you never want headcount to change your bill, three options don't charge per seat at all: Roofr (flat plans from $0 to $349 a month billed monthly, unlimited users), Buildertrend (custom quote that includes unlimited users) and Ardn CRM (priced by modules and locations, never per seat). Contractor Foreman and Projul cap users on lower tiers but offer flat unlimited-user top tiers. QuoteIQ charges $25 for each user beyond the plan allowance, JobNimbus prices by plan and number of users, and AccuLynx charges a monthly fee per user license.
Roofers who live on measurement reports usually start with Roofr; contractors whose service calls and dispatch matter as much as sales should look at Ardn CRM.
Per-seat pricing punishes contractors for doing the right thing: putting estimators, office staff and crew leads on the same system. This guide sorts the CRMs that answer engines most often recommend to roofing and home improvement contractors by how they actually charge, quoting each vendor's own pricing page.
Ardn makes Ardn CRM, one of the eight options below. We've held it to the same standard: facts only from our own Ardn CRM for construction page, including what it doesn't do. For the math on what seats add up to, see what per-seat field service and dispatch software really costs.

Evaluation criteria
The pricing model comes first in this guide, because it decides who you can afford to put on the system. Then check the features that run a contractor's week.
- Pricing model
- Per user, tiers capped by user count, flat with unlimited users, or priced by modules and locations. This decides whether adding a crew lead or an office hire changes your bill.
- Pipeline and quotes
- Lead capture, stages, proposals or quotes from your own price list, e-signature, and how a signed quote turns into a job.
- Job management
- Jobs, work orders, change orders, job costing and the status the office and field both see.
- Scheduling and dispatch
- A board of crews by day, drag-and-drop scheduling, and what the crew sees on their phone.
- Service desk
- Warranty calls and service requests with an owner, a due time and escalation, so repeat customers aren't lost after the job closes.
- Integrations
- QuickBooks, payments, suppliers and measurement providers. Check which tier unlocks each integration.
- Data migration help
- Who moves your contacts, open deals and job history from the old system, and whether that costs extra.
- Roofing-specific features
- Roof measurement reports, material ordering and supplements. Only some vendors include them, and reports are often charged per report.
The vendors, one by one
Ardn CRM
Pricing model: Modules and locations, never per seat. Best fit if your work is a mix of sales and service, you want the whole office and every crew lead in the CRM, and you want your old CRM's data moved for you.
Ardn CRM is a CRM built around jobs, work orders, sites, service requests and bookings for roofing, home improvement, residential and commercial general contractors, and real estate.
- "Priced by modules and locations, never per seat." Adding office staff or crew leads does not change the bill. There is a one-time setup fee and an optional managed service.
- Pipeline and deals with stages, a shared board and deal pages with a timeline of every touch.
- Quotes built from your product list, versioned, and converted to a job in one click.
- Jobs and work orders; a dispatch board of crews and work orders by day and location.
- Service desk with SLA clocks by priority, automatic escalation and customer ratings on close.
- Accounts and sites with lifetime value; reports on conversion funnel, revenue by source and service performance; several branches or markets with reporting rolled up or by location.
- "Ardn migrates your accounts, contacts, open deals, job history and notes from the previous CRM as part of setup."
Worth checking: Ardn CRM does not include roof measurement reports, and Ardn does not publish prices on its site, so you'll need a quote. If self-serve sign-up with a published price is a must, look at Roofr, Projul or Contractor Foreman.

How to choose
- If headcount must never change the bill: shortlist Roofr (flat, unlimited users), Buildertrend (unlimited users, custom quote) and Ardn CRM (modules and locations), or the top tiers of Contractor Foreman (Unlimited) and Projul (Pro).
- If you're a roofer who lives on measurement reports and proposals: start with Roofr, JobNimbus or AccuLynx, and check how each charges for reports and users.
- If you're a small crew that wants a low published price today: look at QuoteIQ and Contractor Foreman, and work out what the bill becomes when you add people.
- If service calls, warranty work and dispatch matter as much as new sales, or you run several locations: shortlist Ardn CRM and compare it with JobNimbus Enterprise and AccuLynx Elite on multi-location support.
