RFP Questions to Ask Before Buying a CRM Portal Add-On

RFP questions to ask before buying a CRM portal add-on — ARDN Cloud Solutions

Most of the cost and lock-in problems companies discover after buying a CRM portal add-on were answerable before signing — they just weren’t asked in the RFP. These are the questions that surface pricing structure, integration depth, and exit terms while there’s still leverage to negotiate or walk away.

Pricing and scaling questions

  • Is pricing per seat, per active user, per login event, or tiered by total user count?
  • What happens to the price if our user count doubles in year two — is there a rate lock, or does it reprice at renewal?
  • Are there separate fees for admin seats, read-only seats, and full-access seats?
  • What features are gated behind a higher tier that we’d need to reach for the use case we’re buying this for?

Integration and data questions

  • Does the portal read and write to our CRM live via API, or on a sync delay — and how long is that delay?
  • Who owns the data generated inside the portal itself (activity logs, uploaded files, custom fields)?
  • Can we export all portal-generated data in a usable format at any time, not just at contract end?

Contract and exit questions

  • What’s the notice period and does the contract auto-renew by default?
  • Is there a minimum seat commitment, and can it be reduced mid-term if usage drops?
  • What does migrating off this tool actually require — is there a documented export/exit process?

The question most RFPs skip

Ask directly: “If our user count for this portal doubles, does our price double?” A vendor’s answer tells you immediately whether you’re buying a system that gets more expensive as adoption succeeds — which, for anything client- or member-facing, is the wrong incentive built into the pricing itself. The alternative worth comparing against is a custom-built portal on a flat monthly fee, where that question has a fixed, unconditional answer.

Red flag in the answer What it means
“Pricing scales with usage” Cost grows exactly when the tool is succeeding
“Export available at contract end” No mid-contract exit path if the fit turns out wrong
“Sync runs nightly” Not real-time — a problem for anything status- or approval-related
“That feature requires our Enterprise tier” The quoted price isn’t the real price for your actual use case

Frequently asked questions

Should we send these questions to every vendor, or just finalists?

Send the pricing and scaling questions to every vendor in the initial RFP — they’re cheap to ask and often eliminate poor fits early. Save the deeper integration and exit questions for the finalist round.

What if a vendor won’t answer the scaling question directly?

Treat a vague or deflected answer as the answer — it usually means the pricing does scale unfavorably and the vendor would rather not say so before you’re locked in.

Is a custom build always cheaper than a portal add-on?

Not always at small scale, but the crossover point is often lower than expected once seat growth is projected forward. Run the specific numbers rather than assuming either direction.
